Something we all learned in the last few years is that no matter how well-organized you are, there is always the chance something annoying may get in the way of your travel plans.
We absolutely understand this.
Therefore, we have chosen a policy that offers travelers flexibility and peace of mind while also being fair to our local guides and services.
Many of the large travel companies offer free cancellation even 24 hours before a tour start date. While this policy is great for clients, it is extremely challenging for guides and tour operators. When you book a tour, our guides block off their calendar and turn down requests from other travelers. Last-minute cancellations leave them without income. This leaves local experts in a precarious financial situation. We believe in sustainable travel and part of that is being fair to the locals who make our trips unforgettable.
We hope that you find our policy reasonable.
Cancellations:
Up to 15 days’ notice: No cancellation fees. Clients will receive a 95% refund (the remaining 5% covers banking or credit card service fees).
From 14 days’ notice: A minimum cancellation fee of 50% per tour or service applies. This compensates the guide for reserving the day, as they may have turned away other clients to accommodate your booking.
10 days or less before the tour/service start date: Fully non-refundable. 100% of the total amount will be charged.
Please note: Timing is calculated according to the service time zone (Central European Time, Spain).
Cancellation Fees for Third-Party Services
The cancellation fees outlined above apply only to tours operated directly by Spain Private Guides.
For tours or components supplied by third parties — such as airlines, hotels, overseas land operators, cruises, trains, car rental companies, museums, and similar — the third party’s own cancellation terms will apply. In addition, Spain Private Guides will charge a handling fee of €50 to €200 per person, per tour or component cancelled.
Clients may receive a 100% refund of the tour price, even within 15 days of the service date, if they are prevented from taking the service due to an unforeseeable event beyond their control (“Unforeseeable Events”). The determination of what constitutes an Unforeseeable Event is at the discretion of Spain Private Guides.
Examples of Unforeseeable Events include impersonal circumstances that make it dangerous or impossible to safely undertake the tour, such as:
Government-imposed travel bans or lockdowns preventing entry to the country or participation in the tour
Epidemic diseases unusual to the area (excluding COVID)
War, civil insurrection, or strikes
Earthquakes or other natural disasters
Cancellation of Extra Services
If additional services were arranged for your tour — such as entrances, private transfers, shows, concert tickets, or similar — cancellations are subject to the terms of each venue or provider.
Please note: Most venues do not accept cancellations and therefore do not offer refunds. A full refund is only possible if the venue itself cancels the event.
Spain Private Guides reserves the right to modify or amend this Cancellation Policy at its sole discretion. Any changes will be communicated by posting updated information on our website.
This Cancellation Policy is governed by Spanish law.
Any cancellations of tours or services must be initiated by contacting Spain Private Guides via email at info@spainprivateguides.com.
This policy applies to all bookings made from 1st January 2023 onwards.
If you have any questions regarding our Cancellation Policy, please do not hesitate to contact us.
We highly recommend purchasing travel insurance. It is typically affordable but provides invaluable coverage in case something goes wrong. In the event that you need to cancel your trip, most cancellation fees are covered by these insurance policies.
